Exhibition Opportunities

General Information

Exhibit booths will be made available at IABMAS 2012. The Exhibition area will be located in the Foyer of the Congress Centre, along the route from the Main Entrance to the Auditorium Plenary Room and the conference rooms for technical sessions. This arrangement will provide the Exhibitors with the best exposure to the Conference Delegates.

Standard and Plus exhibit booth modules will be made available. Standard booths are 3mx2m. Plus booths are 4mx2m (see booths 05, 06, 11, 12, in the map of the Exhibition area). Double booths (6mx2m or 8mx2m) can also be arranged upon request.

The exhibit booths include all basic requirements for Exhibition. The booths can also be customized with extra services and accessories upon request (see Additional Services and Furniture Rental).

The Exhibitor registration fee includes:

• Modular exhibition carpeted and fitted booth with aluminum walls
• Basic booth equipment including 1 table, 3 chairs, 1 locker, 1 waste bin, 1 electrical multiple socket (2,5kW)
• Customizable B&W overhead PVC board
• Conference registration as "Exhibitor" for 2 people

People registered as "Exhibitor" will have access to the Welcome Reception, Lunches, Coffee Breaks and Gala Dinner. Exhibitors can also attend the Technical Sessions, but they are not allowed to present technical contributions. To present technical contributions full conference registration as "Delegate" is required. A "Delegate" registration is also needed in case of other people wishing to attend the Conference and exceeding the two participants included in the Exhibitors Fee.

(°) 21% VAT is not included. Foreign institutions and companies (European and Worldwide) are not charged VAT provided that they can submit their tax identification number or VAT number. Italian institutions and companies subjected to VAT-exemption policies are not charged VAT provided that they can prove their VAT-exempt status. 21% VAT is due in all other cases.

The exhibit booths will be assigned to applicants on a "first come, first served" basis in order of application. Completed registration forms must be accompanied by a receipt of the payment. The exhibit booth will not be assigned until the total amount of registration fee is received.

The Conference Organizing Secretariat can assist the Exhibitors to plan and choose tailored forms of Exhibition and Display opportunities to get the desired level of involvement and exposure. Please contact the Organizing Secretariat for information and assistance.

Payment and Cancellation Policy

Payment of the registration fee has to be made by bank transfer as indicated in the Exhibitor registration form. A receipt of payment must be submitted together with the completed registration form.  The exhibit booth will not be assigned until the total amount of registration fee is received.

Cancellation requests must be sent in writing directly to the Conference Organizing Secretariat. Refund of the registration fees with a retain of 10% of processing fee will be provided for cancellations received prior to February 29th, 2012. Refund with a retain of 50% will be provided for cancellations received from March 1st through April 30th, 2012. No refund will be provided after May 1st, 2012.

Terms and Conditions

After registration is completed all the applicants will be required to review and accept the General Terms and Conditions for Exhibitors and the Fire Safety Regulation. Please note that an Insurance policy is required for all the Exhibitors.

Additional Services and Furniture Rental

The layout of the exhibit booths include all basic requirements for Exhibition. Additional services can be provided by Fiera Milano Congressi, the company managing the Exhibition set up at IABMAS2012. Extra services include additional booth furnishings, material handling, poster boards, audio visual, floral, computer rental, among others. The full list of the services and furniture available for rental will be made available through an online catalogue accessible through Username and Password provided to all the registered exhibitors.

Fiera Milano Congressi will work one-on-one with each of the Exhibitors in order to satisfy their specific exposure needs.
